5 Ways to Reduce Uniform Costs Without Cutting Quality

Uniform costs can be a significant expense, especially for organizations with high staff turnover. But cutting quality isn't the answer — cheap uniforms wear out faster and look unprofessional.

1. Track condition at check-in. When employees return uniforms, record the condition. Items in good condition can be reassigned to new staff. Many organizations find 20-30% of returned items are reusable.

2. Right-size your reorder points. Most companies over-order because they don't have visibility into actual stock levels. With accurate data, set reorder points that prevent both stockouts and excess.

3. Implement an allowance system. Give each employee a yearly uniform allowance (e.g., 3 shirts, 2 pants). This prevents over-issuing and makes employees more accountable.

4. Consolidate suppliers and negotiate. When you can show exact annual volume data, you're in a stronger negotiating position. Fewer suppliers also reduces admin overhead.

5. Analyze replacement patterns. Which items wear out fastest? Which sizes are most requested? Use data to make smarter purchasing decisions.
