How to Manage PPE Expiry Dates and Never Miss a Deadline

Expired PPE is a ticking liability. A hard hat past its recommended service life may not withstand impact. A self-contained breathing apparatus with an expired air cylinder certification cannot be relied upon in an emergency. An arc-rated garment that has exceeded its wash-cycle limit may not provide the rated protection. Managing expiry dates is not administrative busywork — it is a core safety function.

Build a PPE expiry calendar as the foundation of your tracking system. For every PPE item, record three dates: the manufacture date, the date placed in service, and the expiry date. Some items expire based on manufacture date regardless of use (like hard hats with a 5-year lifespan). Others expire based on time in service (like fall protection harnesses with annual inspection requirements). Know which rule applies to each item category.

Set up a three-tier alert system: 90 days before expiry, 30 days before expiry, and 7 days before expiry. The 90-day alert gives procurement time to order replacements. The 30-day alert triggers assignment of replacement items. The 7-day alert is the final warning — if the item is still in service at this point, escalate to safety management immediately.

Batch expiry management saves enormous time. Instead of handling one item at a time, run a monthly report showing all items expiring in the next 90 days. Group them by type and location. Place a single consolidated order for all replacements. Schedule a single collection-and-replacement event per location. This batch approach reduces the per-item administrative overhead by 70-80%.

Document everything for audit purposes. When you retire an expired PPE item, record the retirement reason (expiry), the date, and the disposition (destroyed, returned to manufacturer, recycled). When you issue the replacement, link it to the retired item. This chain of custody proves to auditors that your organization has a systematic, proactive PPE management program rather than a reactive one.
